About this policy

This policy describes how XVision handles personal information when you visit our website, contact our team or interact with our services. Personal information is information about an identified person, or a person who can reasonably be identified.

Road intelligence deployments are configured for individual customers. The organisation operating a deployment may have its own privacy notice, collection authority and information-handling obligations. This policy should be read alongside any notice provided for that deployment.

Information we collect

When you contact us, we collect the information you provide, such as your name, organisation, work email, phone number and enquiry. Correspondence may also include project details, support requests and information needed to deliver services.

Website and security services may process technical information such as your IP address, browser details, request times and verification results. Our enquiry form uses Cloudflare Turnstile to help prevent automated abuse, and SendGrid to deliver enquiries by email.

You can make a general enquiry without providing every detail. We may need contact or project information to respond or deliver the service you request. Please avoid including sensitive personal information or identifiable road-user footage in a general website enquiry.

Road data, sensing and evidence

Depending on the application, XVision systems may process road layouts, traffic counts, speeds, movement paths, event records, camera images or video, and information supplied by customers or connected data sources. Images, vehicle details or location records may be personal information where a person can reasonably be identified.

Edge processing can support collection of traffic observations without retaining all source footage. Whether images, video or identifying details are collected, retained or shared depends on the deployment configuration and purpose. Privacy-conscious sensing does not mean that every deployment is anonymous.

The deployment operator determines the authorised purpose, evidence requirements, access permissions and retention settings, subject to applicable law and the service agreement. Evidence used for enforcement is subject to the operator’s authority and relevant approvals. For questions about a particular roadside installation, contact its operator; our team can help direct an enquiry where we can identify the deployment.

How information is used

We use information to respond to enquiries, assess applications, provide and support services, administer customer relationships, maintain security and meet applicable legal obligations. Where we handle deployment information on a customer’s behalf, its use is governed by the agreed service and the customer’s authorised instructions.

If you receive promotional communications from us, you can ask us to stop or use the unsubscribe option provided. Service messages may still be needed to administer an ongoing relationship.

Sharing and service providers

Information may be shared with personnel and service providers who need it to respond to an enquiry or deliver an agreed service. These may include hosting, email delivery, security, communications and technical support providers. Deployment information may also be made available to authorised customer users and configured systems.

We may disclose information where required or permitted by law, or to respond to a lawful request. A link or integration to another organisation’s service is subject to that organisation’s own privacy practices.

Storage and overseas processing

Information may be stored or processed through service providers operating outside Australia. The countries involved depend on the provider and the services configured; this policy does not promise Australian-only hosting or processing. Contact us for information about the arrangements relevant to your enquiry or proposed deployment.

For customer deployments, hosting location, provider access and data-handling requirements should be specified in the service agreement and deployment documentation.

Security and retention

Security and retention requirements depend on the information and service involved. Access to personal information should be limited to authorised people and systems with a legitimate need. No internet transmission or storage method is completely secure.

Enquiry and customer records are retained for their business purpose and any applicable legal or recordkeeping requirements. Deployment retention periods depend on the customer’s configured settings and obligations. When information is no longer required, deletion or de-identification is subject to applicable law, contractual requirements and backup arrangements.

Cookies and website controls

Website infrastructure and security providers may use cookies or similar technologies to operate services and prevent abuse. You can manage cookies through your browser settings, although blocking some technologies may affect website features or enquiry verification. External websites linked from this site have their own policies.

Access, correction and complaints

You can contact us to ask about personal information we hold about you, request access or correction, or raise a privacy concern. Include enough detail for us to locate the relevant records. We may need to verify your identity before releasing information, and access may be limited where the law permits or another person’s privacy is affected.

For information held on behalf of a deployment operator, we may refer your request to that organisation or assist it in responding. We will consider privacy complaints and aim to respond within 30 days. If more time is needed, we will explain why and provide an update.

If your concern remains unresolved, you can contact the Office of the Australian Information Commissioner about Australian privacy complaint options.
